Challenge
Booking, clinical notes, commercial follow-up, and compliance review ran as separate workflows with no shared record of a decision. Each group could describe its own step; none could show how a consultation became an action, what that action was grounded in, or who had approved it. Without that record, any integration design would have been a guess.
Action
Rather than model the system on paper, the prototype ran the whole path: voice capture of a consultation, retrieval that grounded the next action in approved knowledge, telemetry that recorded the decision path, and human review held at the points where authority mattered. Five role-specific workflows were built instead of one generic one, because the handoffs between roles were where the risk sat. Every handoff exposed three things — the source behind the recommendation, the decision taken, and the accountable owner. The Prototype Decision Pack recorded demonstrated feasibility, the control points made visible, and the pilot decision itself.
Result
The prototype produced the integration contract and the control points a production pilot would need, established before commitment rather than discovered during it. It also gave the commercial side something concrete to evaluate — a working path through five roles rather than a specification describing one, and a recorded decision about whether to build it.
